In partnership with Raymond Brealey, who brings over 25 years of development experience in Costa Rica, Shift combines global expertise with deep local knowledge. After five years of careful planning, Shift Esperanza is preparing to break ground, positioning itself as a model for regenerative real estate that benefits residents, the environment, and surrounding communities.
About the Role:
The Executive Assistant is the right hand of the Director of Development. The primary responsibility of this role is to ensure that his schedule, communications, meetings, priorities, and logistics flow with precision, efficiency, and professionalism.
Additionally, the role functions as an Office Coordinator, maintaining the workspace organized, functional, and prepared to receive clients and investors.
This position requires absolute discretion, strong executive judgment, excellent organizational skills, impeccable communication, and a high capacity for anticipation.
Key Responsibilities:
1. Executive Assistance (Primary Responsibility of the Role)
Manage and optimize the Director of Development’s schedule.
Coordinate internal and external meetings, confirmations, and reminders.
Ensure adequate transition times, preparation, and follow-up for each engagement.
Draft emails, documents, briefings, and formal communications.
Maintain effective communication with internal teams, vendors, clients, and investors.
Protect sensitive information and handle all incoming communication with discretion.
Coordinate travel arrangements: flights, lodging, transportation, and strategic itineraries.
Prepare materials for presentations, documents, and executive packets.
Follow up on action items, pending tasks, and assigned priorities.
Coordinate personal matters directly related to the executive function.
Provide comprehensive support that enables the Director to focus on strategic work.
2. Office Coordination (Secondary but Essential Function)
Maintain the office in optimal condition: clean, organized, and fully stocked.
Oversee inventory of supplies, consumables, and essential items.
Coordinate cleaning personnel and ensure high standards of organization and presentation.
Oversee functionality of internet, printers, equipment, furniture, and work tools.
Coordinate repairs, basic maintenance, and the upkeep of plants/gardening.
Ensure the office is always ready to host investors and visitors.
Maintain updated files, documentation, checklists, and databases.
Prepare basic reports, track processes, and provide general administrative support.
3. Investor, Client & Visitor Support
Prepare meeting rooms and all necessary materials in advance of each visit.
Coordinate schedules, welcoming, and local logistics.
Support the Director of Sales and the Marketing Manager with visit logistics and internal events.
4. Meeting Support & Follow-Up
Attend meetings to take notes and generate minutes.
Follow up on action items, responsible parties, and deadlines.
5. Ethics, Professionalism & Confidentiality
Maintain absolute confidentiality regarding strategic, financial, personal, and operational information.
Protect physical documents, digital information, and the employer’s intellectual property.
Adhere to internal policies, organizational values, and ethical standards.
Use work equipment responsibly (laptop, systems, tools).
Required Qualifications:
2–4 years of experience as an Executive Assistant, Office Manager, or similar role.
High level of organization, attention to detail, and ability to prioritize.
Ability to handle sensitive and high-level information.
Excellent verbal and written communication skills.
Proficiency in Google Workspace (Sheets, Calendar, Docs, Drive).
Fully bilingual in Spanish and English, with intermediate to advanced English proficiency.
Proactive, autonomous, and capable of solving problems independently.
Must possess legal authorization to work in Costa Rica.
Availability
Hybrid modality: in-person presence required during specific periods in Nosara (housing provided), 50% of the time.
Ability to work 5 days per week, from 8:00 a.m. to 5:00 p.m.

Confidentiality, intellectual property, and non-compete terms apply as per the employment contract.
Responsibility for assigned work equipment.
Vacation according to Costa Rican law + internal benefits.
Petty cash / reimbursements subject to invoices and administrative reporting.
